What to know
Send a useful agency brief
Start with the client’s dates, party size, travel style and intended route. Add the arrival and departure details you already hold, the desired hotel standard and any particular interests or accessibility considerations. This gives us a practical basis for a proposal.
Review the itinerary and net proposal
We can discuss private tours, Great Wall hiking and camping programs, transfers and China extensions. Review the sequence of services, travel time and inclusions before presenting the program to your client. Optional activities and independently arranged elements should be distinguishable from the core services.
Agree on the division of responsibilities
Clarify who communicates each confirmation, collects the remaining client information and handles any changes before travel. Keep the accepted itinerary, commercial conditions and service details together so both teams work from the same version.
Coordinate delivery on the ground
Our local team organizes the guides, transfers and other services included in the booking. Meeting instructions and operational contacts connect those arrangements with the client’s journey. If flights, hotels or onward plans change, pass the update through promptly so the ground program can be reviewed.
A clear working relationship supports the traveler as well as the agency: the client knows what to expect, while the teams know which details each is responsible for.
Planning your visit
Include your agency contact, proposed itinerary and required services in the initial request. Rates, payment arrangements and operating responsibilities are established for the specific booking.
